  • when you access the system environments of MondayCoffee; 

  • when MondayCoffee employees access your system environments.

3. What data we process 

We collect, store and, if necessary, pass on data to the extent required to provide the contractual services or to answer inquiries. To prevent unauthorized access to your personal data, the transmission of data is encrypted using SSL technology. 

3.1 Personal data processed during communication and service provision 

We collect information you provide to us when you contact us, when you register on the website or online platform. when you order content or services, or when you apply for a job with us. 

This includes general personal information, such as name and contact information, and, if applicable, information about your position or role with the organization on whose behalf you are contacting us. 

If you order paid content or services, we also request your financial data, such as your preferred payment method and billing address.  

We also process personal data that we receive from third parties. This regularly includes personal data that we receive in correspondence or meetings with customers, suppliers or other business partners, e.g. your name and details of your activity as an employee of the respective customer, supplier or business partner. 

To the extent necessary to achieve the purposes described in this Privacy Policy, we also collect general personal data from publicly accessible registers, websites or platforms (e.g. to verify your signature authorization) or by obtaining information from third parties (e.g. for reference purposes in the application process, if you consent to this). 

3.2 When accessing and collaborating on our systems 

When you access our systems, we collect data to identify you for security reasons. This includes name and account as well as usage data such as user name, password, IP address and login time. This allows us to authorize your access and track changes to the project environment. In addition, we store data about your activities on documents, websites, and other content, e.g., when you create, edit, or read content. This information is used to support effective collaboration and is not processed or evaluated for any other specific purpose. 

3.3 For support on your systems 

For support services, MondayCoffee may partially view personal data on your systems. However, this access will only take place within the scope of your support request and in accordance with your instructions. The data is not used for any other purpose. 

3.4 For marketing and advertising 

For the purpose of sending our newsletters and other marketing measures, we collect the information you provide to us. This includes general personal data such as first name, last name and email address. 

We use analytics services to measure and analyze the use of our newsletter and other marketing measures. The analysis services collect and analyze usage data such as the number of newsletter recipients who have opened the newsletter or clicked on certain articles. We receive evaluations based on this data. These allow us to optimize our newsletter and provide you with content that interests you. 

You can inform us at any time that you do not wish to receive our newsletter or further marketing communication in the future. To do so, you can use the unsubscribe link at the end of the newsletter or send us a message to the contact details listed in section ‎2.

4. For what purposes we process personal data 

The legal basis for the processing is either: 

4.1 The performance of a contract  

We process your personal data primarily to inform you about our range of services and to provide, document and invoice our services in accordance with our contractual and legal obligations. 

In addition, we process your personal data for the following purposes: 

  • Answering your inquiries and communicating with you 

  • Processing of applications 

  • Providing the website and the online platform 

  • Analysis and optimization of the use of the website and the online platform 

  • Marketing and advertising 

  • Optimizing our posts on our company pages in social media 

  • Informing you about new developments at MondayCoffee and about new services 

  • Conducting events, contests and sweepstakes in which you participate 

  • Ensuring security 

  • Compliance with legal obligations 

  • Enforcement of legal claims. 

We have a legitimate interest in the processing of your personal data corresponding to the aforementioned purposes. Some processing is also necessary so that we can fulfill our contractual obligations to you or our legal obligations (e.g. retention obligations). 

5. To whom we disclose personal data 

In order to achieve the purposes described in this Privacy Policy, it may be necessary for us to disclose your personal data to other companies. These are the following categories of recipients: 

  • internal bodies and other group companies

  • other suppliers and other business partners (e.g. specialists for technical support and analysis of errors, authorizations and licensing at Microsoft)

MondayCoffee ensures that third parties only use personal data in accordance with the requirements of applicable data protection laws.  

6. Place of processing 

We store and process your personal data primarily in Switzerland and the EU. However, in order to achieve some of the purposes described, it may also be necessary for us to process your personal data in countries outside Switzerland and the EU or to transfer it to such countries. 

We transfer data to countries without adequate data protection on the basis of standard data protection clauses or legal exceptions (e.g. necessity for contract fulfillment). 

7. How we store and protect personal data 

We store your personal data only to the extent and for as long as necessary to fulfill the purposes described in this Privacy Policy or to comply with legal obligations. MondayCoffee may be required to retain data for financial, tax and other legal reasons. This period will depend on the particular data and countries involved and will generally not exceed eleven years. 

In the interest of the integrity and confidentiality of Personal Data, we take appropriate technical and organizational measures. In particular, we implement access controls, access controls, and procedures to regularly review, assess, and evaluate the effectiveness of the measures in accordance with our risk assessment.
